How added page numbers work
This tool writes a visible number onto each selected PDF page. The number becomes part of the generated page content, unlike a reader's temporary page indicator or an internal PDF page label. You can choose where the number appears and set the first displayed value, which is helpful when a cover should be unnumbered or a section continues numbering from an earlier volume.
Physical PDF positions and printed numbering are separate concepts. The third file page may need to display “1” after a cover and contents page, while an appendix might begin with another value. Decide which physical pages receive numbers and what the first visible number should be. Preview that relationship carefully rather than assuming the existing document labels match the file's page index.
Preparing the numbering settings
Select a PDF and confirm its page count. Choose a top or bottom position and a left, center, or right alignment that avoids existing text, crop marks, signatures, and form controls. Then select the target range and starting number. If different sections need Roman numerals, prefixes, or distinct formats, process separate copies or use a publishing application with advanced page-label support.
Create a short test output when margins are narrow or pages have mixed sizes. Open portrait, landscape, and unusually cropped sheets at normal zoom. A coordinate that looks balanced on one page can overlap content on another. This version is intended for straightforward Arabic numerals and cannot automatically detect the safest blank location on every layout.
Common uses and quality checks
Added numbers can make meeting packets easier to reference, restore navigation to a scanned document, or prepare exhibits whose pages must be cited consistently. Teachers can number a compiled reading packet, and teams can add stable references before review. Agree on the scheme before circulating the file so later insertions do not make comments point to the wrong page.
Review the complete output at least once. Check the first numbered page, last numbered page, range boundaries, landscape sheets, blank pages, and any page with a footer. Verify the number is readable when printed in grayscale and is not outside a printer's non-printable edge. PagesTools cannot know an organization's filing rules, accessibility standards, or required exhibit format.
The operation does not build a table of contents, update cross-references, change internal page labels, or repair bookmarks automatically. Existing links and forms may continue to reference their old destinations, but complex PDF features are not guaranteed to survive every browser-library rewrite. Keep an original copy and test navigation if the document relies on interactive behavior.
Privacy, signatures, and limitations
Numbering is performed locally in your browser, and the PDF is never uploaded to PagesTools. The source bytes are read on your device and the new document is prepared in browser memory. Downloads can still be synchronized or backed up by your operating system and storage provider, so handle sensitive files on a device and account that meet your privacy requirements.
Adding visible content changes the PDF and can invalidate a digital signature. It is not appropriate for altering a signed original when the signature must remain verifiable. Retain the original and, if numbered reference copies are allowed, label and manage them according to the relevant legal, records, or compliance procedure. The tool does not certify that numbering meets a court or regulator's rules.
Large files can consume considerable memory, and encrypted, malformed, or specialized PDFs may fail to load. The tool cannot recover a password, add numbers beneath inaccessible content, or guarantee perfect handling of portfolios, dynamic forms, embedded files, or layered engineering drawings. If processing fails, do not upload the document elsewhere automatically; first consider whether an approved desktop workflow is more suitable.
Before sending the numbered result, open it in another reader and verify the page count, visible sequence, placement, text selection, and printing. Check that an existing footer has not been obscured and no excluded page was numbered. Local processing protects the file from a PagesTools upload, while final accuracy and distribution remain the user's responsibility.
